Dear Partners,

As you have been aware that Microsoft has announced that basic 
authentication for sending email using the SMTP protocol in Microsoft 
Exchange Online will be discontinued after September 2025.

Therefore, functions sending e-mails from machine, such as 
Scan-To-Email, will be unavailable after September 2025. Following this 
change, OAuth 2.0 authentication will be required to send emails using 
SMTP authentication through Exchange Online.

1. Affected Functions
Once basic authentication is phased out, the following features will be 
impacted, resulting in errors when attempting to send emails:
Scan Function (Send to Email)
Internet Fax (Send)
Fax-to-Email Forwarding
On-demand Email Notification
(Function to check device status via email)
Auto Email Notification
(Function to send error reports to the administrator's email)
Sending error notifications when using Mail to Print

To address this change, firmware updates supporting OAuth 2.0 
authentication will be released starting July 2025. The release 
schedules will vary by product model and for further on the updates 
please refer the below link from our Ricoh's official announcement. In 
addition, the below link can be shared to your customers as well.

After applying the firmware updates that support OAuth 2.0 
authentication, the settings must be changed and for detailed 
information, please refer to the attached "OAuth2.0_How to Change 
Settings After Firmware Update_2025-04-30.docx" file.

Remarks:

OAuth2.0 authentication is required when using SMTP servers as 
"smtp.office365.com" provided by Microsoft. If an SMTP server is set up 
in the company and the communication between the device and the SMTP 
server is done with "no SMTP authentication", the communication will not 
be affected by the discontinuation of Basic Authentication of Microsoft 
Exchange Online.
